Use Case

One hub for workforce planning and headcount approvals

A construction software company replaced manual spreadsheets and fragmented HR tools with a connected workforce planning system for roughly 1,500 employees. Headcount requests, multi-step approvals, and real-time budget visibility now live in one place.

The problem

Workforce data was scattered across HR systems, spreadsheets, and slide decks, and every biweekly Workday export needed manual cleanup before anyone could answer basic questions. Headcount requests got lost in Slack threads, and leadership had no live view of budget versus actuals.

What they built

The team built a connected workforce planning system in Airtable fed by live Workday data. Headcount requests route through a structured approval sequence from HR business partners to Finance, and leadership dashboards show real-time run-rate costs and budget pacing.

The outcome

Workforce planning, headcount approvals, and budget tracking now live in one connected system, and manual slide prep for executive reviews is gone. Variance to Finance actuals dropped to under 0.2 percent, and roughly 100 editor licenses were freed.

Workforce Planning & Headcount Management

Run headcount requests, HR business partner and Finance approvals, recruiting status, and division budget-versus-actuals from one connected base, with a reinvestment calculator that prices role conversions against current salary midpoints. Automations route each new request to its approver, open a requisition the moment Finance signs off, and send a weekly pipeline digest, while AI fields screen incoming requests, draft the Finance approval brief, and narrate scenario cost deltas.

How it works

How the headcount workflow runs

Manager submits a headcount request

A hiring manager opens an interface form and selects the business unit. The form dynamically filters skills and role types to show only relevant options, keeping the intake clean and reducing noise.

Request routes through multi-step approval

The submitted request automatically routes to the HR business partner for review. Once approved, it moves to Finance for budget sign-off before the position is confirmed and synced to Workday.

Live data syncs from Workday

A scheduled Workday sync pulls employee records into the integration layer and updates the planning model with current headcount, division assignments, and compensation data. Linked records keep everything consistent across tables.

Leaders review dashboards and model scenarios

VPs and leadership access org structure views, open-to-buy budgets, and recruiting pipelines through role-based interfaces. The reinvestment calculator lets planners model role conversions and view cost projections without touching raw data.

Automated reminders keep hiring on track

Weekly Slack messages grouped by requisition status go to hiring managers automatically. Finance and HR teams receive summary views of budget versus actuals, keeping everyone aligned without manual reporting.

FAQ

Frequently asked questions

The intake form reads the manager's business unit selection and filters the skills list to show only options mapped to that unit. This prevents managers from selecting irrelevant skills and keeps downstream data clean for analysis and matching.

A Workday RAAS sync pulls employee records on a scheduled basis into a dedicated integration base. Linked records anchor the data to division and team tables so changes in Workday propagate consistently across the planning model without manual intervention.

Salary midpoint lookups and cost projections are protected by restricted visibility settings. Only users with the appropriate role-based access can view compensation figures, while managers and recruiters see the subset of data relevant to their work.

Planners enter a proposed role conversion, such as converting one senior individual contributor to two junior contributors, and the calculator immediately shows the cost delta using current salary midpoints. This gives Finance and HR a fast way to evaluate workforce restructuring scenarios.

Executive dashboards now display real-time run-rate costs, open requisitions, and budget pacing by domain and product line. Leadership accesses these through role-gated interfaces rather than waiting for manually assembled presentations.
