One platform for every event, tier, and workback milestone
A large video commerce and multi-banner retail group consolidated event and destination programming management into Airtable, replacing fragmented SharePoint files and spreadsheets. Events are created with tiers, types, and workback milestones, linked to promotions and featured items, synced into the company-wide programming calendar, and surfaced to stakeholders through automated monthly digest emails and shareable interface views.
The problem
Event data lived across SharePoint folders and spreadsheets maintained by different teams. There was no consistent way to see workback milestones, event overlaps, or which events were linked to active promotions without cross-referencing multiple files.
Stakeholder updates required manual effort: someone had to compile links to many different views and send a monthly digest by hand. Leadership access was inconsistent because IT deactivated inactive accounts, and some teams could not be fully onboarded due to data privacy requirements around financial fields.
What they built
The team built a centralized event management base where each event is created with a tier, type, and set of workback milestones. Events are linked to promotions, offers, and featured items so the relationship between programming and product is visible in one place.
A sync pushes event data into the company-wide programming calendar with color-coding and team filters. Record templates and event cloning speed up planning for recurring event types. Automated status updates and cancellation notifications replace manual email chains, and shareable read-only interface links give non-Airtable stakeholders and external distribution lists access without requiring a seat.
The outcome
Event visibility became organization-wide without requiring everyone to be an Airtable user. Shareable links and read-only interfaces give stakeholders, leadership, and external partners a reliable view of the event calendar, and monthly digest emails go out automatically without anyone assembling them by hand.
Meeting preparation time dropped. Leaders can review event timelines and overlap risks in a single interface rather than reconciling across spreadsheets, and the Events team spends less time maintaining views and more time executing programming.

Event & Experience Management with Workback Timelines
Plan every event and destination programming window in one place: create it with a tier, type, and workback milestone plan, then link it to the promotions and featured items that support it and watch overdue milestones surface automatically. Automations generate the workback plan the moment an event is created, pull linked promotions and notify the distribution list when an event is cancelled, and send the monthly stakeholder digest on schedule, while AI fields draft event briefs, overlap-and-risk readouts, and digest highlights.

FAQ
Frequently asked questions
Each event record includes milestone fields with target completion dates tied to the event date. Teams can view all milestones for an event in a timeline or calendar interface, and automated status updates notify relevant team members when a milestone is approaching or overdue.
Shareable read-only interface links allow anyone with the link to view the event calendar, filter by team or tier, and see upcoming events and workback dates without holding an Airtable seat. Leadership and external distribution lists use these links to stay informed without onboarding to the platform.
An Airtable automation runs on a monthly schedule, compiles the current event list from the base, and sends a formatted email to a configured distribution list. The team no longer needs to manually gather links to different views and compose a digest email each month.
A linked record field on each event record connects it to the relevant promotion and featured item records in the same base. This makes it easy to see, at a glance, which promotions are supporting an event and which featured items are associated with a particular programming window.
Sensitive financial fields are confined to specific tables and views with restricted access. Teams that cannot see financial data are given interfaces or shareable views scoped to the event and programming data they need, so they get the visibility they require without exposure to restricted information.
