Use Case

Consolidated learning and development tracking for a technical workforce

A construction software company replaced manual Google Forms and CSV imports with a connected skills framework, mentorship program intake, and course tracking system. Managers now have real-time visibility into their team's development without admin overhead.

The problem

Skills data was duplicated across multiple tools and tables with no single authority. When managers submitted headcount requests, they saw unfiltered skills lists covering every role in the company, making the intake process confusing and error-prone. Training records lived in spreadsheets, and there was no way to link course completion data back to employee records without manual CSV imports.

Program managers spent significant time on administrative tasks: matching mentors to mentees manually, tracking mentorship cycles in email threads, and compiling attendance and completion data from disconnected sources. Managers had no self-serve view of their team's development participation, and privacy rules meant sensitive training and compliance data could not be shared broadly without access controls.

What they built

The team built a consolidated skills framework table linked to each business unit, so the skills list in any headcount request form filters dynamically based on the submitting manager's team. Engineering, Product Design, and Technology each see only the skills relevant to their work. The same framework feeds the mentorship signup form, where participants choose mentor or mentee roles and select from a scoped set of skills rather than an overwhelming full list.

A learning dashboard tracks enrollment, attendance percentage, and project submission percentage per employee and course. Manager-facing interfaces filter dynamically by management chain so each manager sees only their direct and indirect reports. Role-based access controls keep sensitive compliance data visible only to authorized users. Automated Slack reminders prompt participants about upcoming training and mentorship engagement without requiring manual outreach.

The outcome

Skills data is now maintained in one place and synchronized across the headcount planning and learning systems, eliminating duplication and the reconciliation work that came with it. Mentorship program matching is more accurate because participants select from a filtered and consistent set of skills rather than free-text fields. Quarterly mentorship cycles now run with minimal administrative overhead.

Managers gained self-serve visibility into team development and training participation through filtered dashboards tied to their management chain. Program administrators reduced the time spent on intake coordination, compliance tracking, and participant communication. The solution scales across quarterly mentorship cycles without requiring structural changes each time.

Learning & Development Tracking

Run one skills framework across headcount requests, mentorship intake and course tracking, with manager dashboards that show enrollment, attendance and project submission for a whole reporting line. Automations open pairing records from each intake response, push course completions back onto the employee record, and email a weekly reminder digest, while AI fields screen signups, explain matches and draft the reminder messages.

How it works

How the learning and development workflow runs

Skills framework is maintained in one table

A consolidated skills table maps each skill to the business units where it applies. When the framework is updated, all downstream forms and dashboards reflect the change automatically, keeping skills data consistent across headcount planning and development programs.

Employees sign up for mentorship with filtered choices

Participants open the mentorship intake form and choose a mentor or mentee role. The form branches based on the selection and presents a filtered skills list scoped to the participant's business unit, improving match quality and reducing form abandonment.

Training enrollment and completion is tracked per employee

As employees complete courses, attendance percentages and project submission rates update in the learning dashboard. Records link to employee data via the HR system integration, so completion data is always tied to the correct person without manual reconciliation.

Managers review their team's development in filtered views

Each manager accesses a dashboard filtered to their management chain, showing enrollment status, attendance rates, and compliance progress for their direct and indirect reports. Access controls prevent managers from viewing data outside their reporting scope.

Automated reminders keep participants engaged

Slack messages go out automatically to employees who have upcoming training deadlines or mentorship check-ins. Program administrators can trigger reminders by status without manually compiling recipient lists or drafting individual messages.

FAQ

Frequently asked questions

The consolidated skills table is the single source referenced by both the headcount request forms and the mentorship intake. When a manager fills out a headcount request, the form reads their business unit and filters the skills list to relevant options, pulling from the same framework that feeds the development programs.

Course enrollment and completion records are linked to employee records through the HR system integration. This means attendance percentages and project submission rates are always associated with the correct employee without requiring manual CSV imports or reconciliation between separate spreadsheets.

Each quarterly mentorship cycle runs as a discrete set of records tied to a program cycle. Intake forms capture mentor and mentee preferences at the start of each cycle, matching runs based on skills alignment, and completion is tracked through the cycle's close. Starting a new cycle does not require rebuilding the base structure.

Role-based access controls restrict visibility of training compliance and sensitive development records to authorized users. Managers see dashboards filtered to their reporting scope, and program administrators control which records are visible to which roles through field-level and view-level permission settings.

Intake forms built in the connected system replaced standalone Google Forms, with responses going directly into linked records rather than exported CSV files. Automated Slack reminders replaced manual email outreach, and manager dashboards replaced spreadsheet-based tracking for development and compliance reporting.
