Use Case

From brief intake to launch without the manual overhead

A direct-to-consumer personal care brand group replaced fragmented work management with AI-assisted brief intake and automated production orchestration covering five in-house brands and roughly 150 concurrent projects.

The problem

Creative teams at a multi-brand personal care company were managing ad batches, social assets, store design, and packaging deliverables through a patchwork of tools. Asana handled some task tracking, but brief review meetings consumed roughly ten hours per week, handoffs between Creative and Channel Management routinely fell through the cracks, and there was no reliable way to know whether a given asset was ready for production.

When spec or modifier combinations changed, brittle automations broke. Non-Airtable collaborators missed notifications. Data was re-keyed across systems. As the brand portfolio grew to five labels running roughly 150 simultaneous projects, the gap between what teams knew and what the tools showed became a recurring source of delays.

What they built

The team built an end-to-end creative production system in Airtable, starting with an idea bank where concepts can be captured and promoted to briefs in one click. A dedicated briefing page handles editor assignment and status progression, with role-based views filtered by user and due date so each editor sees only their active work. Spec-type and modifier combinations automatically trigger the correct task template, removing manual job setup entirely.

AI-assisted brief intake reads Google Docs drafts and converts them into structured Airtable records, cutting the translation step that previously required weekly review meetings. Box folders are provisioned automatically on job creation and kickoff emails go to stakeholders without manual action. Lift scores feed a capacity planning layer that gives Creative Directors and Production Managers real-time visibility into team load across all five brands. Slack and Gmail notifications keep non-Airtable collaborators in the loop at every approval milestone.

The outcome

Manual job setup time dropped to near-zero after AI brief intake and automated Box folder provisioning went live. The weekly ten-hour brief review meeting was eliminated. Creative and Channel Management teams now share a single view of asset status, removing the dropped handoffs that had been a persistent problem as the brand portfolio scaled.

Capacity planning via lift scores gave Creative Directors a tool they did not previously have: a forward-looking view of who is available and where bottlenecks are forming before deadlines slip. The team retired Asana, consolidating the tool stack without losing any of the workflow structure it had provided.

Build out this use case

Creative production orchestration with AI-assisted brief intake

Capture creative concepts in an idea bank, promote them to briefs in one click, and run every deliverable from brief intake through asset delivery on a single board with editor assignment, spec-driven task templates, and lift-score capacity planning. Airtable AI reads the unstructured brief draft and returns a structured intake summary, the extracted spec and modifier, a readiness triage verdict, a kickoff email and a Creative-to-Channel handoff note, while automations open the production job, write the asset folder path, release linked jobs on approval, and send a weekly triage digest that replaces the standing brief review meeting.

How it works

How creative production orchestration works in Airtable

Capture ideas and promote to briefs

Contributors add concepts to a shared idea bank. When a concept is approved, a single click promotes it to a briefing record, pre-populating metadata and triggering the intake flow without any re-keying.

Convert Google Docs briefs with AI

AI-assisted intake reads unstructured brief documents from Google Docs and maps them to the correct Airtable fields. Editors receive a fully populated record without the manual translation step.

Auto-generate tasks and provision folders

The spec type and modifier combination on each brief determines which task template fires. Box folders are created automatically, stakeholder kickoff emails go out, and Slack notifications alert the relevant channels.

Manage capacity with lift scores

Each production job carries a lift score reflecting its effort weight. Creative Directors view an aggregated capacity panel showing current load per editor, making it straightforward to balance assignments before deadlines approach.

Track status from brief to delivery

Editor-specific views filter work by user and due date, giving each team member a focused queue. Creative Directors and Production Managers see the full picture across all five brands in a shared operations view.

FAQ

Frequently asked questions

The system handles ad batches, social assets, store design, artwork, photography, and packaging die lines across all five in-house brands. Task templates are generated from spec-type and modifier combinations, so each deliverable type gets the correct set of tasks without manual configuration.

When a brief is drafted in Google Docs, an automation reads the document and maps its contents to the corresponding Airtable fields on the briefing record. This replaces the weekly review meeting that previously took roughly ten hours and removes the manual re-keying step for editors.

When a job is created in Airtable, an automation triggers Box folder creation for that project and sends a stakeholder kickoff email. This happens without any manual action from the creative or production team, eliminating a setup step that previously required individual attention for every job.

Each production job is assigned a lift score reflecting its relative effort. An aggregated capacity view shows Creative Directors the current workload per editor and production artist across all brands, giving them visibility to rebalance assignments before bottlenecks form.

The workflow integrates with Slack and Gmail for notifications, Box for asset folder management, Google Docs for AI brief intake, and Widen (Acquia DAM) for asset library access. An AI agent platform connects via API to support brief parsing and automation routing.
