Virgin Voyages launched in 2021 with bold ambitions: disrupt a decades-old industry and reimagine what a cruise experience could be. With just a handful of employees and a fresh idea, they started from scratch. Today, they're operating three vessels across the globe, sailing to more than 150 destinations and employing thousands of Crew on ship and shore. Their mission to deliver "an epic sea change for all" extends into every part of their business. That includes how they work. And for that, they rely on Airtable.
The challenge: scaling operations and creative workflows across teams
As Virgin Voyages expanded, so did the complexity of their operations. The marketing team alone grew to more than 80 people, spanning content, social, CRM, PR, partnerships, and performance. Behind the scenes, the shipboard teams, casino staff, housekeeping, and technical crews all played a role in delivering a consistent guest experience across thousands of details and moving parts.
Before Airtable, coordination was difficult. Teams used a patchwork of Google Docs, Slides, and spreadsheets to manage their work. "Some slide decks were over 100 pages, and no one knew where anything stood," said Billy Bohan Chinique, Senior Director of Global Brand Marketing. Campaign timelines were hard to track. Asset approvals lagged behind. And cross-functional visibility was limited, especially between shipboard and shoreside teams. There was a clear need for a unified system that could scale with the brand’s ambitions.
The solution: Airtable as the operational backbone
Airtable became that system. What started as a lightweight CRM evolved into the platform powering everything from global marketing campaigns to shipboard scheduling.
Campaign planning: Airtable houses everything from briefs and asset timelines to photo shoot logistics and legal approvals. When the team traveled across Europe for a campaign shoot, all schedules, call times, and location data were centralized in one place.
Production logistics: Pre-production and on-site coordination are tracked in real time. Shoots on board and on land are planned using connected views, ensuring wardrobe, creative, and location teams stay aligned.
Post-production & asset management: Thousands of assets across paid and owned channels move through Airtable, with version control and legal clearance built into the workflow.
Shipboard integration: Teams on the ships use Airtable to track programming, special events, and operational updates. From DJ sets to Virgin Voyages’ special Shake For Cchampagne deliveries, Airtable ensures every detail is accounted for.
Performance tracking: Campaign inputs are connected to outcomes. The marketing team can see what’s working, compare against benchmarks, and adjust in near real time.
Weekly reporting: A department-wide status report that used to take five hours now takes just 30 minutes. Live dashboards replace manual spreadsheets and slide decks.
